Project Management (PM) software is a very powerful tool helping to manage the team\u2019s tasks, to manage changes, and to monitor the progress towards deliverables. The key idea here is <em>tool<\/em>. <\/p>\n\n\n\n<p class=\"has-black-color has-text-color\">A project manager should be able to determine what type of software tool they need, and\/or the features within an existing tool, to support the work. Project managers can spend a lot of time reviewing software options, however, they should have some understanding about how the tool is going to be used. To prove the point, I share examples such as in Steve Voegl\u2019s book, <a href=\"https:\/\/www.amazon.com\/Pentagon-History-Steve-Vogel\/dp\/0812973259#:~:text=Find%20all%20the%20books%2C%20read%20about%20the%20author%2C%20and%20more.&amp;text=The%20creation%20of%20the%20Pentagon,order%2C%20Brigadier%20General%20Brehon%20B.\">The Pentagon: A History<\/a>, in which he shares the 1941 story of incredible planning and work behind the construction an internationally known landmark. The leaders used a combination of people skills and technical knowledge to guide the complicated work, not software.<\/p>\n\n\n\n<p>Interestingly, international research firm Gartner\u2019s <a href=\"https:\/\/www.gartner.com\/document\/3534837?ref=feed\"><em>Use Social Tools to Manage Projects Without Project Management<\/em><\/a> research shows a trend away from PM software and towards social collaboration tools. Employees leverage the software they use daily, Slack for example, to \u201c\u2026<a href=\"https:\/\/www.softwareadvice.com\/resources\/social-collaboration-tools\/\">facilitate the requirements of single place and collaboration, but do so in ways that employees have already adopted<\/a><em><strong>&#8230;\u201d<\/strong><\/em><\/p>\n\n\n\n<p>It is important to note that it is the type of work and the team collaboration that drives the software choice. Again, no one software will guarantee project success. Software is meant to increase your efficiency. The type of work and the team collaboration should drive your software choice. Of course, there is no one program that will guarantee project success; however, it&#8217;s important to pick a system with features tailored for what you need!<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"what-to-consider\">What to Consider When Selecting Project Management Software<\/h2>\n\n\n\n<p>Rather than Google search \u201cproject management software\u201d and hoping it works out, identify the key features you need based on: type of project management in use (Waterfall, Agile, Disciplined Agile), size of the team, the available software budget, the ramp up or training to use the software, type of project work (IT, software, creative, manufacturing, etc.), and team collaboration needs. Consider functionality such as:<\/p>\n\n\n\n<figure class=\"wp-block-table is-style-stripes\"><table><tbody><tr><td>\n<p style=\"text-align: center;\">Analytics<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Document Management<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Mobile capabilities<\/p>\n<\/td><\/tr><tr><td>\n<p style=\"text-align: center;\">Project Management<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Portfolio Management<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Time Tracking<\/p>\n<\/td><\/tr><tr><td>\n<p style=\"text-align: center;\">Notifications<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Resource and Skill Matching<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Resource Forecasting<\/p>\n<\/td><\/tr><tr><td>\n<p style=\"text-align: center;\">Scheduling<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Reporting<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Budgeting<\/p>\n<\/td><\/tr><tr><td>\n<p style=\"text-align: center;\">Project, Task, Resource Views<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Workflow Status<\/p>\n<\/td><td>\n<p style=\"text-align: center;\">Progress \/ Status Tracking<\/p>\n<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Use software review sites to help narrow in on which software would address your needs.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><a href=\"https:\/\/technologyadvice.com\/project-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">Technology Advice: Project Management<\/a><\/li><li><a href=\"https:\/\/project-management.com\/top-10-project-management-software\/\" target=\"_blank\" rel=\"noreferrer noopener\">Project Management.com Top 10 Project Management Software<\/a><\/li><li><a href=\"https:\/\/www.pcmag.com\/picks\/the-best-project-management-software\" target=\"_blank\" rel=\"noreferrer noopener\">PC Magazines Best PM Software<\/a><\/li><\/ul>\n\n\n\n<p>The PM software should support your work. As Project Manager Ralph Kliem shares in his PMI.org article \u201c<a href=\"https:\/\/www.pmi.org\/learning\/library\/guideline-evaluate-project-management-software-4629\" target=\"_blank\" rel=\"noreferrer noopener\">Project Management Software: Friend or Foe?<\/a>\u201d, it is not what software you use that will get you to success, it is how you use it to plan, organize, control, and lead a project that matters.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"training-for-software\">Training For PM Software<\/h2>\n\n\n\n<p><img decoding=\"async\" width=\"200\" style=\"width: 200px; float: left; margin: 0px 10px 10px 0px;\" src=\"https:\/\/f.hubspotusercontent40.net\/hubfs\/3294842\/touch-screen-1023966_640.jpg\" alt=\"touch-screen-1023966_640\">One of the most widely used PM software is <a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/project\/project-management-software\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft Project<\/a>. For many, that is the software they are required to use by their company. If you know Waterfall methodology, then Microsoft Project will have familiar terms and features. No software will build trust among the team, maintain your client relationship, or help you negotiate changes in budget, schedule, or deliverables. However, using PM software wisely and to fit the type of environment in which you are working, can increase your project\u2019s success.
