Collectively, that is 60% of project failure being tied to managing time and schedules.<img decoding=\"async\" style=\"width: 347px; float: right; margin: 0px 0px 10px 10px;\" src=\"https:\/\/f.hubspotusercontent40.net\/hubfs\/3294842\/Project%20Schedules%201.png\" alt=\"Project Schedules 1\" width=\"347\"><\/p>\n\n\n\n<p>Other research, from PricewaterhouseCoopers, which reviewed 10,640 projects from across various industries, found that only <a href=\"https:\/\/news.gallup.com\/businessjournal\/152429\/cost-bad-project-management.aspx#:~:text=Cost%20and%20time%20overruns%20also,year%20in%20the%20United%20States\">2.5% of the companies successfully completed 100% of their projects<\/a>. Further, the Harvard Business Review has released a study showing that \u201c<a href=\"https:\/\/news.gallup.com\/businessjournal\/152429\/cost-bad-project-management.aspx#:~:text=Cost%20and%20time%20overruns%20also,year%20in%20the%20United%20States.\">one in six projects had a schedule overrun of almost 70%<\/a>.\u201d<\/p>\n\n\n\n<p>The ability to manage the uncertainty within project can be the difference in project success or failure, including your own career in Project Management.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"root-cause-problem\">Root Cause of Project Schedule Problem<\/h2>\n\n\n\n<p>With so many projects suffering from out-of-control schedules, the savvy project manager must be able to get to the root cause to stay out of the failure statistics. From before a project is even officially a project, when it is just a concept, there is an ongoing set of evolving demands, requests, and requirements from stakeholders of all kinds. And once that idea is a project, the Project Manager will also be dealing with requests and requirements from the team members. This leads to the term \u201creasonable constraints,\u201d which as anyone who has been in any project lead or manager role knows, is especially important and very subject to interpretation. <img decoding=\"async\" width=\"379\" style=\"width: 379px; float: right; margin: 0px 0px 10px 10px;\" src=\"https:\/\/f.hubspotusercontent40.net\/hubfs\/3294842\/Project%20Schedules%202.png\" alt=\"Project Schedules 2\">In the PMI article, <a href=\"https:\/\/www.pmi.org\/learning\/library\/negotiating-realistic-estimates-4600\">Negotiating Realistic Estimates<\/a>, the authors share, that project constraints can be set arbitrarily and yet accepted; if the constraints are not reasonable and the project schedule cannot be met, \u201c\u2026<a href=\"https:\/\/www.pmi.org\/learning\/library\/negotiating-realistic-estimates-4600\">there are often significant costs\u2014that include lost opportunities, people sitting and waiting for something to do, unhappy customers, lawsuits, penalties, lost credibility, high operating costs throughout the life of the product<\/a>.\u201d<\/p>\n\n\n\n<p>Project managers need to have a thorough understanding of the key stakeholders in their project, what motivates them, and how they like to work. Project Managers should also understand that different stakeholder groups may have competing interests and deadlines for completion. Project managers can use negotiation skills when necessary to help keep all parties on schedule as well as ensure that unrealistic expectations are dealt with upfront.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"back-on-schedule\">Ways to Get Project Back on Schedule<\/h2>\n\n\n\n<p>There is not a single solution to getting a project schedule back on track. However, there are <a href=\"https:\/\/www.apm.org.uk\/blog\/what-to-do-if-a-project-deadline-is-impossible-to-meet\/\">many tactics<\/a> which used alone or in combination, can help you manage constraints and keep the work on schedule. Even if you have been handed an existing project that is off schedule, you can, with skill and experience, get it on track. Consider the specific circumstances of the project and approach the schedule challenge accordingly.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><span style=\"font-weight: bold;\">Negotiate<\/span><br>Alison Green\u2019s article \u201c<a href=\"https:\/\/www.inc.com\/alison-green\/how-to-cope-with-unreasonable-deadlines.html\">How to Cope with Unreasonable Deadlines<\/a>\u201d recommends a \u201cbig-picture conversation with your manager\u201d to gain information on the situation, expectations, and perspectives. Other business experts build on this idea and <a href=\"https:\/\/work.chron.com\/tell-boss-cannot-meet-deadline-being-fired-6172.html\">recommend discussions about deadline setting, time consuming factors, and the impact of missing deadlines<\/a>. In turn, you\u2019ll be better positioned to figure out next steps.<\/li><li><span style=\"font-weight: bold;\">Manage expectations<\/span><br>From day one, a Project Manager should manage expectations. <a href=\"https:\/\/work.chron.com\/tell-boss-cannot-meet-deadline-being-fired-6172.html\">Always build in buffer for each deadline set.<\/a> Project managers should explain why a schedule is not realistic and provide a \u201ctimeline built on reliable projections for resource constraints and dependencies on deliverables\u201d, says <a href=\"https:\/\/www.pmi.org\/learning\/careers\/rookie-mistakes-project-scheduling\">Michelle Colodzin Gunsher, PMI-SP, PMP<\/a>, senior project manager, Dignity Health.<\/li><li><span style=\"font-weight: bold;\">Risk management<\/span><br>All project schedules should reflect uncertainty. Manage your risks and incorporate flexibility into your schedule to prevent ongoing schedule revisions, says <a href=\"https:\/\/www.pmi.org\/learning\/careers\/rookie-mistakes-project-scheduling\">Alberto Jos\u00e9 Monz\u00f3n Belmonte, PMI-SP, project control engineer at Tecnicas Reunidas<\/a>.<\/li><li><span style=\"font-weight: bold;\">Communicate progress<\/span><br>Your project status reports should be more than just \u201cred\/yellow\/green\u201d or percent complete. Because that is just your plan, it does not mean it is reality. Emotional intelligence, negotiation, and critical path can help with scheduling which you can actually achieve.
